What You’ll Be Doing: 

  • Maintaining daily calendars and owning the end-to-end scheduling process for the VP/General Manager and leadership team, ensuring efficient time management and prioritization of meetings. 
  • Planning and organizing business meetings, department events, and offsites, including overseeing logistics and on-site support to ensure seamless execution. 
  • Coordinating complex domestic and international travel arrangements, including itineraries, accommodations, and travel documents. 
  • Managing and administering expense reporting—processing invoices and reconciling departmental budgets with accuracy and timeliness. 
  • Organizing and maintaining departmental files, supplies, and documentation for easy access and compliance. 
  • Assisting with the preparation of correspondence, reports, manuals, and presentations for business leaders, ensuring high-quality deliverables. 
  • Serving as a point of contact for internal and external stakeholders, demonstrating professionalism and a solutions-oriented approach. 
  • Performing other duties as assigned to support the evolving needs of the leadership team and department.

What You’ll Need: 

  • High School diploma and 6+ years of relevant experience, or an AA degree in a related discipline with 6 years of experience; an Associate’s or Bachelor’s degree preferred. 
  • Demonstrated experience supporting executive-level leadership, with significant experience supporting C-level executives highly desirable. 
  • Advanced proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), SharePoint, Teams, and Zoom. 
  • Ability to manage multiple time-sensitive tasks with exceptional organizational and time management skills. 
  • Strong analytical skills, with the ability to draw insights from data and support budget reconciliation. 
  • Experience working with US Department of Defense organizations is a plus. 
  • U.S. citizenship is required for this role.
